AI Usage and Transparency Policy

1. Introduction

This AI Usage and Transparency Policy explains how GrowthMate uses artificial intelligence, machine learning, automated analysis, generative AI, and related technologies in connection with its services.

GrowthMate is a SaaS-based marketing analytics, reporting, insights, and business-growth platform operated by QOPTERVZN INFOCOM PRIVATE LIMITED, a company incorporated in India.

This Policy applies to GrowthMate services provided through:

  • growthmate.net;
  • app.growthmate.net;
  • GrowthMate dashboards, reports, integrations, alerts, recommendations, assistants, and other features; and
  • related websites, applications, products, and services operated by GrowthMate.

This Policy supplements GrowthMate’s:

  • Privacy Policy;
  • Terms of Service;
  • Acceptable Use Policy;
  • Google API Data-Use Disclosure;
  • Cookie Policy;
  • Data Deletion Instructions; and
  • other applicable policies and notices.

Where this Policy contains more specific terms concerning GrowthMate’s use of artificial intelligence, this Policy will apply to that use.

2. Plain-Language Summary

GrowthMate uses artificial intelligence to help users understand marketing and business data, identify trends, generate reports, receive recommendations, and work more efficiently.

When you use an AI-enabled GrowthMate feature:

  • GrowthMate may process the information you submit and information from services you have connected.
  • Some information may be securely sent to third-party AI service providers solely to generate or support the requested result.
  • AI-generated results may be inaccurate, incomplete, outdated, biased, or unsuitable for your particular circumstances.
  • AI-generated results are not guaranteed to produce advertising, financial, commercial, legal, or business success.
  • Important decisions should be independently reviewed by a qualified person.
  • GrowthMate does not use your connected Google user data to train general-purpose AI models.
  • GrowthMate does not sell your prompts, connected account data, or AI outputs.
  • GrowthMate does not use AI to make legally or similarly significant decisions about individuals.
  • You remain responsible for reviewing and approving content, recommendations, campaigns, or actions before using or publishing them.

3. Definitions

For this Policy:

3.1 “AI”

“AI” means artificial intelligence, machine learning, statistical modelling, generative AI, large language models, automated analysis, recommendation systems, forecasting systems, and related computational technologies.

3.2 “AI Feature”

“AI Feature” means any GrowthMate feature that uses AI to generate, analyse, recommend, classify, summarise, predict, explain, transform, or otherwise process information.

3.3 “AI Input”

“AI Input” means prompts, instructions, questions, files, text, account data, connected-service data, configuration information, feedback, or other information submitted to or processed by an AI Feature.

3.4 “AI Output”

“AI Output” means any text, recommendation, report, summary, prediction, analysis, classification, score, forecast, image, suggestion, response, or other result generated or materially assisted by AI.

3.5 “Customer Data”

“Customer Data” means information submitted to GrowthMate by or on behalf of a user, including information imported from authorised third-party integrations.

3.6 “Connected-Service Data”

“Connected-Service Data” means information obtained from a third-party service that the user has authorised GrowthMate to access, such as Google Analytics, Google Search Console, Google Ads, Meta advertising services, or other marketing and business platforms.

3.7 “Third-Party AI Provider”

“Third-Party AI Provider” means a service provider that supplies AI models, AI infrastructure, model-hosting services, data-processing services, or related technology used by GrowthMate.

4. How GrowthMate Uses AI

GrowthMate may use AI to provide the following features.

4.1 Marketing Analytics

AI may analyse authorised marketing and business data to identify:

  • traffic trends;
  • acquisition trends;
  • advertising-performance changes;
  • conversion patterns;
  • customer-engagement patterns;
  • campaign inefficiencies;
  • unusual increases or decreases;
  • correlations between marketing channels;
  • potential performance opportunities; and
  • other patterns that may be useful to the user.

4.2 Reports and Summaries

AI may help generate:

  • performance summaries;
  • executive summaries;
  • scheduled reports;
  • campaign reports;
  • search-performance reports;
  • website-performance reports;
  • comparison reports;
  • marketing scorecards;
  • narrative explanations;
  • downloadable reports; and
  • prioritised action lists.

4.3 Recommendations

AI may provide recommendations relating to:

  • campaign structure;
  • advertising performance;
  • budget allocation;
  • keyword opportunities;
  • search-engine performance;
  • content strategy;
  • audience engagement;
  • landing-page performance;
  • conversion optimisation;
  • measurement and attribution;
  • reporting priorities; and
  • other marketing or business activities.

Recommendations are informational and do not guarantee a particular result.

4.4 Forecasting and Predictive Insights

AI may use historical information and statistical patterns to estimate possible future:

  • traffic;
  • conversions;
  • advertising costs;
  • revenue;
  • campaign performance;
  • customer engagement;
  • search visibility; or
  • other business outcomes.

Forecasts are estimates rather than promises. Actual results may differ substantially due to market conditions, platform changes, user behaviour, competition, data quality, implementation decisions, and other factors.

4.5 Anomaly Detection

AI may identify unusual changes in:

  • traffic;
  • conversion rates;
  • advertising spend;
  • campaign performance;
  • revenue;
  • engagement;
  • tracking behaviour;
  • connected-account activity; or
  • other reported metrics.

An anomaly alert does not necessarily mean that an error, security incident, or material business event has occurred.

4.6 AI Assistants and Conversational Features

GrowthMate may provide chat-based or conversational features that allow users to ask questions about:

  • their connected marketing data;
  • GrowthMate reports;
  • dashboard metrics;
  • campaign results;
  • website performance;
  • possible optimisation actions; or
  • general marketing concepts.

Users will ordinarily be able to identify these features as automated or AI-assisted through their presentation, labels, interface, or surrounding context.

4.7 Content Assistance

GrowthMate may assist users with generating or improving:

  • advertising copy;
  • campaign ideas;
  • headlines;
  • descriptions;
  • social-media content;
  • website copy;
  • report commentary;
  • email content;
  • keyword ideas;
  • content outlines;
  • calls to action; and
  • other marketing materials.

Users must review such content before publishing or using it.

4.8 Product Security and Reliability

GrowthMate may use AI-assisted systems to:

  • detect suspicious account activity;
  • identify potential abuse;
  • classify technical errors;
  • support fraud prevention;
  • detect spam or malicious content;
  • assist troubleshooting;
  • improve system reliability; and
  • protect users and the GrowthMate platform.

GrowthMate does not rely solely on AI when taking serious enforcement or account-security actions where human review is reasonably appropriate.

4.9 Customer Support

GrowthMate may use AI to:

  • classify support requests;
  • suggest help-centre content;
  • summarise conversations;
  • draft proposed responses;
  • route requests;
  • identify common technical issues; and
  • help support personnel respond efficiently.

A user may be interacting with an automated system where this is apparent from the interface or disclosed within the interaction.

5. When GrowthMate Will Disclose AI Use

GrowthMate aims to provide reasonable notice when a feature:

  • involves direct interaction with an AI assistant;
  • generates substantive content using AI;
  • provides predictions or recommendations generated materially by AI;
  • creates a report or explanation materially generated by AI; or
  • otherwise uses AI in a manner users would not reasonably expect.

Disclosure may be provided through:

  • an “AI-generated” or “AI-assisted” label;
  • an icon;
  • a notice near the relevant feature;
  • an explanation in the feature description;
  • this Policy;
  • onboarding information; or
  • other appropriate contextual notice.

GrowthMate may not label every use of routine automation, statistical analysis, security detection, ranking, formatting, spell-checking, data validation, or other background processing where AI involvement is not material to the user’s understanding of the feature.

6. Information AI Features May Process

Depending on the feature used, AI Features may process:

  • user prompts and instructions;
  • account and profile information;
  • business information;
  • website-performance information;
  • advertising-performance information;
  • analytics information;
  • search-performance information;
  • campaign names and configurations;
  • keywords and search terms;
  • conversion and revenue metrics;
  • uploaded text or files;
  • reports and dashboard data;
  • feedback submitted by users;
  • Connected-Service Data;
  • technical information necessary to operate the service; and
  • previous messages within the same AI interaction where necessary to maintain context.

GrowthMate will seek to limit the information processed by an AI Feature to information reasonably necessary to provide the requested functionality.

7. Connected Google Data

Where an AI Feature uses information obtained through Google APIs, GrowthMate’s use of that information will comply with the GrowthMate Google API Data-Use Disclosure.

Google user data may be used to generate user-facing:

  • analytics;
  • explanations;
  • summaries;
  • reports;
  • recommendations;
  • forecasts;
  • alerts;
  • responses to user questions; and
  • other features requested by the user.

GrowthMate does not use Google user data to:

  • train general-purpose AI or machine-learning models;
  • build AI models for unrelated users;
  • provide advertising unrelated to the requested GrowthMate feature;
  • create unrelated consumer profiles;
  • sell data; or
  • operate a data-broker service.

Any transfer of Google user data to a Third-Party AI Provider will be limited to providing or improving a user-facing GrowthMate feature and will remain subject to applicable Google API data-use restrictions.

8. Third-Party AI Providers

GrowthMate may use Third-Party AI Providers to operate certain AI Features.

These providers may process limited AI Inputs and Customer Data on GrowthMate’s behalf to:

  • generate requested AI Outputs;
  • host or operate AI models;
  • provide model-inference services;
  • filter harmful or prohibited content;
  • maintain security;
  • detect misuse;
  • monitor technical performance; or
  • provide related infrastructure.

GrowthMate seeks to select providers that offer appropriate privacy, confidentiality, security, and data-processing protections.

Where reasonably available and appropriate, GrowthMate uses provider settings, contractual terms, or API services designed to prevent Customer Data from being used to train general-purpose models for the provider’s independent purposes.

Third-Party AI Providers are not authorised by GrowthMate to:

  • sell Customer Data;
  • use Customer Data for unrelated advertising;
  • build profiles for unrelated purposes;
  • disclose Customer Data to unauthorised third parties; or
  • use Customer Data for purposes unrelated to providing their services to GrowthMate.

Provider models, infrastructure, locations, features, and technical configurations may change over time. GrowthMate may replace or add providers where reasonably necessary to improve functionality, security, reliability, cost, or legal compliance.

9. Model Training and Service Improvement

9.1 General-Purpose Model Training

GrowthMate does not use private Customer Data, Connected-Service Data, or Google user data to train general-purpose AI models made available to unrelated users or third parties.

GrowthMate does not permit Third-Party AI Providers to use such information for their independent general-purpose model training except where:

  • the information has been lawfully made public by the user;
  • the information has been irreversibly de-identified so that it cannot reasonably be linked to a user, organisation, or connected account;
  • the user has received clear notice and provided valid consent; or
  • another lawful basis and disclosure expressly permitting such processing applies.

9.2 Improving GrowthMate Features

GrowthMate may use limited information to maintain and improve GrowthMate’s user-facing AI Features, including:

  • user feedback;
  • feature ratings;
  • error reports;
  • safety reports;
  • technical performance information;
  • de-identified usage patterns;
  • aggregated statistics; and
  • examples voluntarily submitted for review.

Where GrowthMate wishes to use identifiable Customer Data for materially different AI training or model-development purposes, GrowthMate will provide an appropriate notice and obtain consent where required.

9.3 User Feedback

Where a user submits a rating, correction, report, or other feedback about an AI Output, GrowthMate may review the relevant interaction to:

  • investigate the issue;
  • improve response quality;
  • identify unsafe behaviour;
  • correct technical errors;
  • prevent repeated failures; or
  • evaluate the AI Feature.

Users should not include confidential, sensitive, or unnecessary personal information in feedback.

10. Human Oversight

GrowthMate’s AI Features are intended to assist users, not replace appropriate human judgement.

Users must independently review AI Outputs before relying on them for important decisions.

GrowthMate may apply human oversight through:

  • testing and evaluation;
  • quality reviews;
  • safety reviews;
  • monitoring;
  • user-feedback analysis;
  • access controls;
  • escalation procedures;
  • incident investigation;
  • content moderation; and
  • review of potentially serious account actions.

GrowthMate may temporarily limit, modify, suspend, or discontinue an AI Feature where it identifies a material reliability, security, legal, safety, or compliance concern.

11. No Solely Automated High-Impact Decisions

GrowthMate does not design its general marketing AI Features to make final decisions concerning an individual’s:

  • employment;
  • hiring or dismissal;
  • credit eligibility;
  • lending;
  • insurance eligibility or pricing;
  • housing;
  • education admission;
  • medical treatment;
  • legal rights;
  • government benefits; or
  • access to essential services.

Users must not use GrowthMate AI Features as the sole basis for making such decisions.

GrowthMate’s marketing scores, recommendations, classifications, and forecasts are intended to support business analysis and are not intended to determine an individual’s legal rights or access to essential opportunities.

12. Accuracy and Reliability Limitations

AI systems can generate inaccurate, incomplete, outdated, misleading, inconsistent, or fabricated information.

AI Outputs may be affected by:

  • incomplete or inaccurate Customer Data;
  • tracking errors;
  • delayed platform reporting;
  • missing context;
  • ambiguous prompts;
  • statistical uncertainty;
  • model limitations;
  • third-party platform changes;
  • differences in attribution models;
  • data sampling;
  • insufficient historical data;
  • unusual market conditions; and
  • technical errors.

GrowthMate does not represent or warrant that AI Outputs will always be:

  • accurate;
  • complete;
  • current;
  • original;
  • unbiased;
  • legally compliant;
  • suitable for a particular purpose;
  • free from third-party rights;
  • accepted by an advertising platform; or
  • commercially successful.

Users should compare important AI Outputs with original data sources and obtain professional advice where appropriate.

13. Professional and Regulated Advice

GrowthMate AI Outputs are not a substitute for advice from a qualified:

  • lawyer;
  • accountant;
  • tax adviser;
  • financial adviser;
  • doctor;
  • healthcare professional;
  • employment professional;
  • cybersecurity professional; or
  • other licensed or regulated professional.

GrowthMate may provide general information concerning marketing, analytics, advertising, or business performance, but such information should not be treated as legal, tax, financial, medical, or other regulated professional advice.

14. User Responsibilities

Users are responsible for:

  • providing lawful and accurate AI Inputs;
  • ensuring they have authority to submit Customer Data;
  • reviewing AI Outputs before use;
  • verifying factual claims;
  • checking calculations and metrics;
  • confirming platform-specific requirements;
  • obtaining necessary approvals;
  • protecting confidential information;
  • complying with applicable laws;
  • complying with advertising-platform policies;
  • respecting intellectual-property rights;
  • avoiding deceptive or harmful uses; and
  • applying appropriate human judgement.

A user’s decision to use, publish, transmit, implement, or rely on an AI Output remains the user’s responsibility.

15. Advertising and Marketing Transparency

GrowthMate may generate advertising or marketing suggestions, but it does not guarantee that an AI Output complies with the policies of Google Ads, Meta Ads, or any other advertising platform.

Before publishing AI-assisted advertising content, users must verify:

  • all factual claims;
  • pricing and discount statements;
  • product descriptions;
  • testimonials and endorsements;
  • performance claims;
  • health or financial claims;
  • before-and-after representations;
  • offer conditions;
  • availability;
  • required disclaimers;
  • intellectual-property rights;
  • landing-page consistency; and
  • applicable advertising-platform requirements.

Users must not use GrowthMate AI Features to create or distribute:

  • false or misleading advertisements;
  • fabricated testimonials;
  • fake reviews;
  • deceptive earnings claims;
  • deceptive performance claims;
  • impersonations;
  • undisclosed synthetic endorsements;
  • misleading political content;
  • manipulated media intended to deceive;
  • prohibited discriminatory targeting;
  • content designed to evade advertising review;
  • cloaked or misrepresented landing pages; or
  • advertisements for prohibited products or services.

Where AI-generated or materially altered content must be disclosed or labelled under applicable law or platform policy, the user is responsible for applying the required disclosure unless GrowthMate expressly provides that disclosure as part of the feature.

16. Intellectual Property

16.1 User Inputs

Users retain their rights in the AI Inputs they submit, subject to the limited permissions required for GrowthMate and its service providers to process those inputs and provide the service.

Users must not submit content unless they have the necessary rights, permissions, and lawful authority to do so.

16.2 AI Outputs

As between GrowthMate and the user, and subject to applicable law, third-party rights, and GrowthMate’s Terms of Service, the user may use AI Outputs generated specifically for their account.

However:

  • AI Outputs may not qualify for intellectual-property protection;
  • similar or identical outputs may be generated for other users;
  • an output may resemble existing third-party material;
  • GrowthMate does not guarantee originality;
  • GrowthMate does not conduct a complete trademark, copyright, patent, or plagiarism review; and
  • the user is responsible for checking whether the intended use infringes another person’s rights.

16.3 GrowthMate Technology

GrowthMate retains all rights in:

  • its platform;
  • software;
  • workflows;
  • interfaces;
  • prompt structures;
  • templates;
  • algorithms;
  • documentation;
  • branding;
  • proprietary systems; and
  • other GrowthMate technology.

17. Confidential and Sensitive Information

Users should avoid submitting information to AI Features that is not necessary for the requested purpose.

Unless a GrowthMate feature expressly supports such processing and appropriate safeguards are in place, users should not submit:

  • passwords;
  • private authentication credentials;
  • API secrets;
  • payment-card security codes;
  • private cryptographic keys;
  • government identification numbers;
  • medical records;
  • biometric information;
  • highly sensitive financial information;
  • confidential legal communications;
  • trade secrets unrelated to the requested analysis;
  • children’s personal information; or
  • information the user is not authorised to disclose.

GrowthMate is not responsible for a user’s unauthorised submission of third-party confidential or personal information.

18. Security

GrowthMate applies reasonable administrative, organisational, contractual, and technical safeguards designed to protect AI Inputs, Customer Data, and AI Outputs.

These safeguards may include:

  • encryption during transmission;
  • access controls;
  • authentication controls;
  • secure API connections;
  • logging and monitoring;
  • restricted personnel access;
  • service-provider assessments;
  • incident-response procedures;
  • secure development practices;
  • vulnerability management; and
  • data-retention controls.

No AI system, software platform, or internet transmission method can be guaranteed to be completely secure.

Users are responsible for protecting their GrowthMate account credentials, connected accounts, devices, and authorised-user permissions.

19. Retention and Deletion

GrowthMate retains AI Inputs, AI Outputs, and associated technical records only for as long as reasonably necessary to:

  • provide the requested AI Feature;
  • maintain conversation or reporting context;
  • display previous results;
  • troubleshoot errors;
  • prevent abuse;
  • maintain security;
  • comply with applicable law;
  • resolve disputes;
  • enforce agreements; and
  • meet legitimate operational requirements.

Retention periods may vary depending on:

  • the AI Feature;
  • account settings;
  • subscription status;
  • data type;
  • provider configuration;
  • legal requirements; and
  • whether the user requests deletion.

Users may request deletion of applicable AI interaction data by:

  • using available deletion controls;
  • deleting the relevant report or conversation;
  • deleting their GrowthMate account; or
  • contacting [email protected].

GrowthMate may retain limited records where required for legal compliance, security, fraud prevention, dispute resolution, or enforcement.

Residual copies may remain temporarily within encrypted or access-restricted backups until removed through standard backup-deletion cycles.

20. Bias, Fairness, and Discrimination

AI systems may reflect limitations, assumptions, or biases arising from their training data, design, prompts, or context.

GrowthMate seeks to reduce harmful and discriminatory uses by:

  • limiting unsupported high-impact uses;
  • maintaining acceptable-use restrictions;
  • testing appropriate features;
  • monitoring reported issues;
  • providing user-feedback channels;
  • applying human review where appropriate; and
  • restricting content that unlawfully discriminates against individuals or groups.

Users must not use GrowthMate AI Features to unlawfully discriminate based on protected characteristics or to infer highly sensitive characteristics for prohibited decision-making or targeting.

21. Safety and Misuse Prevention

GrowthMate may use automated and human review methods to detect or prevent:

  • fraud;
  • scams;
  • malicious code;
  • impersonation;
  • abusive content;
  • unlawful discrimination;
  • deceptive advertising;
  • account compromise;
  • prohibited data extraction;
  • attempts to bypass safety controls; and
  • other violations of GrowthMate policies.

GrowthMate may block an AI Input, decline to generate an AI Output, limit functionality, suspend access, or investigate an account where it reasonably believes the AI Feature is being misused.

Safety systems may make mistakes. Users may contact GrowthMate where they believe an AI request or account action was incorrectly restricted.

22. Prohibited AI Uses

Users must not use GrowthMate AI Features to:

  • violate any law or regulation;
  • violate the rights of another person;
  • generate illegal, fraudulent, or deceptive content;
  • create fake reviews or fabricated testimonials;
  • impersonate another person or organisation deceptively;
  • distribute malware or malicious code;
  • facilitate unauthorised access to accounts or systems;
  • conduct phishing or credential theft;
  • manipulate or exploit vulnerable persons;
  • unlawfully discriminate;
  • generate child sexual-abuse material;
  • facilitate sexual exploitation;
  • encourage self-harm;
  • facilitate violent wrongdoing;
  • promote prohibited goods or services;
  • create deceptive political or public-interest content;
  • conceal that materially manipulated media is synthetic where disclosure is required;
  • make solely automated high-impact decisions;
  • circumvent advertising-platform enforcement;
  • extract or identify personal information unlawfully;
  • violate confidentiality obligations;
  • infringe intellectual-property rights; or
  • bypass GrowthMate’s technical, security, or safety restrictions.

Additional restrictions are described in GrowthMate’s Acceptable Use Policy.

23. Children

GrowthMate is intended for businesses, professionals, agencies, and other commercial users. It is not directed to children.

Users must not knowingly submit children’s personal information to GrowthMate AI Features unless they have the necessary legal authority, the processing is permitted by applicable law, and GrowthMate has expressly agreed to support that processing.

24. User Controls

Depending on the feature and account configuration, users may be able to:

  • choose whether to use an AI Feature;
  • submit or withhold an AI Input;
  • edit a prompt;
  • regenerate an output;
  • delete an AI interaction;
  • correct connected data;
  • disconnect a third-party integration;
  • report an inaccurate or unsafe output;
  • request human support; or
  • request deletion of stored data.

Some core analytics, security, ranking, or automation functions may use AI or machine learning in the background and may not be individually disabled without discontinuing the relevant GrowthMate feature.

25. Reporting AI Concerns

Users should report AI Outputs that appear to be:

  • materially inaccurate;
  • unsafe;
  • discriminatory;
  • deceptive;
  • unlawful;
  • privacy-invasive;
  • infringing;
  • inconsistent with this Policy; or
  • based on incorrect Customer Data.

Reports should include, where reasonably available:

  • the affected GrowthMate account;
  • the AI Feature involved;
  • the approximate date and time;
  • the relevant input or report;
  • a description of the concern; and
  • any supporting information.

Users should not send passwords, OAuth tokens, API secrets, or other authentication credentials by email.

26. Suspension or Modification of AI Features

GrowthMate may modify, restrict, suspend, replace, or discontinue an AI Feature where reasonably necessary because of:

  • security risks;
  • legal or regulatory requirements;
  • platform-policy changes;
  • provider changes;
  • technical limitations;
  • quality concerns;
  • excessive misuse;
  • intellectual-property concerns;
  • privacy risks;
  • safety concerns; or
  • commercial or operational considerations.

AI models and outputs may change over time even where the user provides the same or a similar input.

27. No Guarantee of Business Results

GrowthMate AI Features are intended to assist with analysis and productivity.

GrowthMate does not guarantee that using an AI Output will result in:

  • higher advertising approval rates;
  • increased website traffic;
  • increased leads;
  • increased sales;
  • improved search rankings;
  • reduced advertising costs;
  • increased conversion rates;
  • increased revenue;
  • profitability;
  • platform-policy compliance; or
  • any other specific commercial outcome.

Business results depend on numerous factors beyond GrowthMate’s control.

28. Relationship With Other Policies

This Policy should be read together with GrowthMate’s other applicable policies.

In particular:

  • the Privacy Policy governs GrowthMate’s broader collection and processing of personal information;
  • the Google API Data-Use Disclosure governs information obtained through Google APIs;
  • the Acceptable Use Policy governs prohibited uses of GrowthMate;
  • the Terms of Service govern the contractual relationship between GrowthMate and its users; and
  • the Data Deletion Instructions explain how users may request deletion.

If there is a conflict, the more specific provision concerning the relevant data, feature, or activity will apply to the extent permitted by law.

29. Changes to This Policy

GrowthMate may update this Policy to reflect:

  • changes to AI Features;
  • changes to Third-Party AI Providers;
  • changes to data practices;
  • legal or regulatory developments;
  • platform-policy changes;
  • security improvements; or
  • operational changes.

The revised Policy will be published with an updated “Last updated” date.
